Room Service, Villas & Room Charge Settlement
How hotels and resorts configure room codes, in-room QR tent cards, and room charge settlements.
How It Works
Strict 1–2 Character Room Code Rule: MintLight table codes are intentionally constrained to 1–2 alphanumeric characters. For hotels and resorts, rooms are mapped using standard 2-character conventions: R1–R9 for Guest Rooms, V1–V9 for Villas, S1–S9 for Suites, and C1–C9 for Pool Cabanas. Arbitrary long labels like "Room 104" or "Villa Sunset" are rejected by the creation modal.
In-Room QR Standee Deployment: High-resolution QR cards are printed and placed in acrylic tent cards on nightstands or room keycard folders. Each card links to that room’s unique cryptographic table_key.
Kitchen Delivery Flow: The kitchen KDS displays incoming tickets with the room code prominent at the top (e.g. "Room V2"). Cooks prepare and tray the dishes, and delivery servers deliver the order directly to the guest’s door.
Room Charge Settlement: During bill settlement, servers select "Room Charge" as the tender. MintLight records the transaction and marks the invoice settled.
Hotel PMS Distinction: Selecting Room Charge records the internal payment tender in MintLight. Automatic posting to an external hotel Property Management System (PMS) depends on whether that PMS provider integration is connected.
What You Need to Do (Step-by-Step)
- 1. Define 1–2 Character Room Codes
Navigate to Dashboard -> Tables / QR Code. Click "+ Add Table". Enter 2-character codes such as R1, R2, V1, V2, C1 using Single or Bulk Mode.
đź’ˇ Note: Do NOT type "Room 101". Use compact codes (e.g., R1 for Room 1, 11 for Room 101). - 2. Download and Laminate QR Standees
Click "Download All QRs". Print the codes and place them in durable acrylic stands on guest bedside tables or poolside loungers.
- 3. Kitchen Receives In-Room Dining Ticket
When guests scan and place orders, the kitchen KDS displays the ticket labeled with the room destination (e.g. "Room V1") and cooking notes.
- 4. Deliver to Room & Settle via Room Charge
Room service servers deliver the tray to the room door. Open the Waiter Portal, tap the room card, click "Settle Bill", and select "Room Charge".
